Coordinator, Experience Management
The Role:
We are seeking a motivated Coordinator, Experience Management to work in Foundation, the firm’s content, experience management and proposal automation tool. This role is responsible for maintaining and evolving processes to collect experience data and is actively involved in keeping our experience information accurately classified and consistently written, supporting effective proposal development, business development initiatives, and firm-wide reporting.
Reporting to the Manager of Business Development Technology, the Coordinator will also be involved in planning improvements that address the needs of users across the firm, including lawyers, and stakeholders in the Client and Business Development, IT and Finance departments. As the firm grows, this role may also provide guidance to future Business Development team members as we expand our reporting and database capabilities. Essential Functions:
- Accurately enter, update, and maintain experience (matter) data in the Foundation system, including information sourced from proposals, lawyer submissions, directory materials, and other internal documents
- Apply consistent tagging, classification, and formatting standards to ensure data integrity and usability
- Review and validate data for completeness, accuracy, and alignment with firm standards before publishing
- Support the preparation of experience lists and descriptions for proposals, pitches, and marketing materials
- Assist in maintaining commonly used content such as group descriptions, value propositions, and lawyer biographies within Foundation
- Ensure all content adheres to firm style guidelines and quality standards
- Follow established processes to gather required information and escalate gaps or inconsistencies as needed
- Support responses to biography and experience update requests from internal stakeholders
- Work with lawyers, Business Development team members, and other stakeholders to collect and confirm experience information
- Conduct routine quality checks to ensure data accuracy, consistency, and completeness across the system
- Follow established workflows for experience collection, validation, and maintenance
- Assist in documenting processes, user guides, and data standards for internal use
- Perform day-to-day administrative tasks in Foundation, including data updates, clean-up, and basic troubleshooting
- Support testing and validation activities following system updates or enhancements
- Assist with monitoring integrations and escalating issues to appropriate team members
- Support the Business Development team on ad hoc requests related to experience data and reporting
- Gather, verify and submit matter information for industry league tables, liaising with Business Development leads, lawyers and industry teams as appropriate
- Liaise with firm stakeholders and fulfil biography requests and updates
- Support the wider Client and Business development team on ad hoc requests
Qualifications:
- Post-secondary education in Business, Marketing, Communications, Information Management or related field.
- 2-4 years of professional experience.
- Experience with databases, or content management and proposal generation software is an asset
- Demonstrated critical thinking skills applied to database structure, process optimization and project management
- Strong writing, editing and proofreading skills
- Excellent verbal and written communication skills
- Deep understanding of law firms and of the scope of work handled by large law firms
- Experience documenting, training and communicating processes and workflows
- Experience with managing data and performing accurate data entry
- Ability to prioritize, meet deadlines, and work both independently and collaboratively
- Proficient in the Microsoft Office suit
Additional Details:
- Compensation: $60,000- $75,000 per annum
