Specialist, Experience Management
The Role:
We are seeking a motivated Specialist, Experience Management to drive and champion the firm's use of Foundation, the firm’s content, experience management and proposal automation tool. This role is responsible for maintaining and evolving processes to collect experience data and is actively involved in keeping our experience information accurately classified and consistently written, supporting effective proposal development, business development initiatives, and firm-wide reporting. Reporting to the Manager of Business Development Technology, the Specialist will also be involved with planning improvements that address the needs of users across the firm, including lawyers, and stakeholders in the Client and Business Development, IT and Finance departments. As the firm grows, this role may also provide guidance to future Business Development team members as we expand our reporting and database capabilities. Essential Functions:
- Maintain and manage the Foundation Project Plan in 4 key areas
- Document and Templates
- Process Maintenance and Development
- Training and Support
- Automation
- Lead the collection and population of the firm's work descriptions in Foundation
- Recommend, refine and develop new uses for Foundation that automate and improve existing processes (for example, directory submissions)
- Develop best practices for the use of Foundation within the department, including ongoing training and coaching for the Business Development team, and upkeep of any training documentation
- Conduct comprehensive validation and QA testing following upgrades to ensure database functionality and performance reliability
- Monitor, troubleshoot and maintain data synchronizations from various integrations
- Develop and share curated experience lists for use in proposals and marketing materials
- Work with the proposal team to enter unique content, such as representative experience descriptions, value propositions, pricing structures and custom lawyer biographies, to Foundation
- Ensure compliance and alignment with the Client and Business Development writing style guide
- Gather, verify and submit matter information for industry league tables, liaising with Business Development leads, lawyers and industry teams as appropriate
- Liaise with firm stakeholders and fulfil biography requests and updates
- Support the wider Client and Business development team on ad hoc requests
Qualifications:
- Bachelor's degree in Business, Marketing, Communications, Information Management or related field
- 3 - 5 years of professional experience
- Experience with databases, or content management and proposal generation software is an asset
- Demonstrated critical thinking skills applied to database structure, process optimization and project management
- Strong writing, editing and proofreading skills
- Excellent verbal and written communication skills
- Deep understanding of law firms and of the scope of work handled by large law firms
- Experience documenting, training and communicating processes and workflows
- Experience with managing data and performing accurate data entry
- Ability to prioritize, meet deadlines, and work both independently and collaboratively
- Proficient in the Microsoft Office suite
Additional Details:
- Compensation: $70,000- $85,000 per annum
