We are currently recruiting for the following role in our Toronto office:
Assistant, Client & Business Development
The Role:
This role is a key part of the firm's Client and Business Development (“CBD”) Department, providing administrative support to the Chief Marketing Officer and supporting our firm wide business development, marketing, and communications initiatives. The incumbent will demonstrate strong skills in organization, budget and expense management, and calendar and email management, and a manner that lets them interact collaboratively with firm leaders, lawyers, legal assistants and department colleagues.
Essential Functions:
Budgets, Invoicing, Merchandise, Events and Sponsorships
- Support overall CBD budget management, invoice processing and classification of department expenses, credit card reconciliations, annual forecasting and budget compliance reviews and liaising with the Accounting Team in respect of department expenses
- Manage deadlines and process payments for advertising, publishing and other branding and marketing initiatives and other vendors as required
- Assist with fulfillment and tracking of requests for branded merchandise and manage local inventory
- Work closely with the Events and Client Programs team to fulfill and track in Interaction requests for branded merchandise orders and all local inventory
- Identify and track email bounce-backs, ensuring they are organized in the appropriate folders and communicated to the CRM team
- Provide support to the Sponsorships team, including processing payment and coordinating with the Events and Marcomms teams on logistics
Calendar and Document Management
- Support of Department Leadership's calendar, email, and other administrative tasks including expense management, filing, travel and meeting bookings, email screening and organization
- Schedule and facilitate photo shoots for lawyers and senior staff and ensure prompt payment to external providers
- Provide certain project management support for our Business Development team, including maintenance of documents and files related to Business Development programs, and assistance with scheduling and coordinating of meetings for Business Development, or other BD-related meetings
- Assist with scheduling and coordination of CBD Department meetings
Content Management
- As a member of the firm's Intranet Content Management Team, assist with processing and coordinating updates to the Intranet
- Provide overflow support for select website content requirements, including job postings, removals of lawyers and staff, gathering published content and updating lawyer bios
- Other projects and duties as assigned
Qualifications:
- 3+ years or more of relevant experience preferably in a corporate environment
- Post-secondary studies in business, marketing, communications or public relations is an asset
- Self-starter with excellent attention to detail and multi-tasking skills
- Excellent organizational and time management skills
- Superior technical knowledge of Microsoft Office and an overall tech savvy nature
- Exhibits a strong work ethic with the ability to maintain confidentiality and discretion
- Displays professionalism and has highly developed interpersonal skills with a “can-do” attitude
- Ability to communicate effectively and in a timely manner with clients, vendors and other members of the team
- Flexible and able to work in a fast-paced environment while juggling conflicting priorities and exercising judgment to escalate issues to Department Leadership where appropriate
- This role may require occasional early morning and/or evening coverage (overtime eligible)
Additional Details:
- Compensation: $50,000 - $60,000 per annum
