Coordinator, Human Resources

The Role:

The Coordinator, Human Resources plays a pivotal role in supporting the Calgary office HR team and ensuring the efficient day-to-day operations of the department. This position supports a broad range of HR functions including recruitment coordination, employee lifecycle administration, payroll and benefits support, and internal event planning. The Coordinator contributes to fostering a positive, organized, and productive workplace environment.

Essential Functions:

  • Support recruitment efforts by screening candidates, scheduling interviews, drafting and posting job advertisements, and conducting reference and background checks.
  • Assist with onboarding new hires by preparing welcome packages, sending new hire documentation, scheduling onboarding sessions, and providing office tours and team introductions.
  • Maintain and update employee lifecycle changes within the HRIS and other internal systems for all Calgary staff, including lawyers.
  • Assist with the annual performance evaluation and bonus structure programs using VIWAVE software.
  • Prepare employment change forms for payroll and benefits, ensuring accuracy of titles, salaries, department transfers, and departures.
  • Maintain strict confidentiality when handling sensitive employee information and HR matters.
  • Draft employee communications and documentation related to changes in employment status, such as work hours, titles, or departmental changes.
  • Coordinate the probationary reviews and exit interview processes.
  • Attendance Management
  • Participate in the SAIT practicum recruitment process, including candidate interviews, preparing student offers, and coordinating the practicum program each May.
  • Coordinate the annual Staff Appreciation week events and “Take Your Kid to Work Day” program.
  • Plan and coordinate internal benefits initiatives and wellness events such as the “Not Myself Today” campaign, the annual flu clinic and assist the benefits team with coordination of webinars, events and other related events.
  • Schedule and coordinate internal HR team meetings and other departmental events as required.
  • Review and verify overtime submissions and timesheets in preparation for payroll processing.
  • Provide support with payroll processes as required.
  • Provide administrative and operational support to the Manager, Human Resources and Director, Human Resources as well as ad-hoc support to the Payroll and Benefits Managers.
  • Ensure employee files and HR records are maintained accurately and updated regularly.

Qualifications:

  • Degree or diploma in Human Resources Management or a related field.
  • Minimum of two years’ experience in a Human Resources role.
  • Exceptional interpersonal skills with a professional, approachable, and service-oriented demeanor.
  • Strong attention to detail and highly developed organizational skills.
  • Demonstrated ability to manage confidential and sensitive information with discretion and sound judgment.
  • Excellent time management skills with the ability to prioritize effectively in a fast-paced environment.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office applications.
