The Role
The Coordinator will play a crucial role in supporting the Director, Talent & Operations by managing administrative tasks, coordinating projects, and ensuring smooth operations within the Montreal office. The ideal candidate will be detail-oriented, possess excellent communication skills, and have the ability to multitask in a fast-paced environment.
Essential Functions:
- Provide comprehensive administrative and project support to the Director of Talent & Operations.
- Organize and coordinate recruitment events and campus visits to attract potential law students.
- Ensure timely posting of recruitment-related communications on the firm’s website and review translated materials for consistency.
- Handle the logistics of the recruitment process including screening resumes, scheduling interviews, coordinating with hiring lawyers and committees, and managing candidate communications.
- Facilitate onboarding processes for new talent, including orientation, training, and integration.
- Assist in the preparation and administration of performance reviews for students, associates, and other members of the firm.
- Maintain and update employee records and databases, ensuring accuracy and confidentiality.
- Support the planning and execution of professional development programs and office-wide initiatives.
- Coordinate with the marketing team to prepare social media posts and event invitations related to student and office activities.
- Maintain comprehensive and accurate documentation of recruitment activities, firm events, and operational initiatives.
- Track and reconcile departmental expenses, including firm Visa transactions, ensuring alignment with budget.
- Assist with filings and documentation required by the Quebec Bar.
- Liaise with internal and external stakeholders on behalf of the Director, ensuring timely follow-up and communication.
- Handle confidential information with discretion and professionalism.
- Perform other administrative and clerical duties as assigned.
Qualifications:
- Bilingual proficiency in French and English, both spoken and written. This role requires frequent interaction with third parties who communicate exclusively in English, as well as collaboration with colleagues across our Canadian offices, where English is the predominant language. Given that more than 50% of the responsibilities will be performed in English, a high level of proficiency in written, oral, and comprehension skills in English is essential. The candidate must also demonstrate excellent command of written and spoken French.
- Minimum of 2 years of experience in a coordination or administrative role, preferably within a professional services or legal environment.
- Demonstrated client service orientation with strong interpersonal skills and a high level of professionalism.
- Exceptional organizational and time-management abilities, with a proven capacity to manage multiple priorities and meet deadlines.
- Proficient in Microsoft Office Suite and comfortable using HR and project management tools.
- Self-motivated, with a collaborative mindset and strong problem-solving skills.
