Essential Functions:
- Greet clients and visitors in a warm, professional, and courteous manner.
- Notify the appropriate team member(s) of visitor arrivals promptly.
- Answer internal and external calls via the Firm’s Cisco switchboard console, efficiently directing calls, taking accurate messages, and locating individuals when urgent follow-up is required.
- Accurately manage boardroom bookings and hospitality requests using meeting room booking software.
- Maintain a consistent presence at the front desk to support Firm security protocols.
- Maintain discretion and confidentiality.
- Log all visitors accurately in the Firm’s internal system and issue temporary visitor passes while ensuring proper tracking.
- Ensure the reception area is clean, organized, and welcoming at all times.
- Monitor early morning staff absence calls and promptly notify relevant individuals.
- Manage catering orders and ensure timely follow-up on invoicing.
- Maintain and update the caterers’ file to ensure menus are appropriate for a variety of occasions and dietary needs.
- Handle all courier requests (Fedex, Speedo, Post Canada) and ensure proper follow-up.
- Maintain and update the Reception Guide to reflect current procedures and contacts.
- Provide support for special projects and events, including student recruitment initiatives and firm social events.
- Complete other administrative tasks, as required.
Qualifications:
- The employee in this position will have to interact with clients and third parties who understand and communicate only in English. This position also requires that the candidate be able to interact seamlessly with colleagues in our offices across Canada, where English is the predominant language. Since we estimate that more than 50% of the work required for this position must be done in English, the language requirements for this position are a high level of writing, understanding and oral communication in that language. The employee must also have a high level of writing, understanding and oral communication in French.
- Excellent communication skills in both French and English are essential.
- Knowledge of or experience with a computerized switchboard and large meeting room booking software (Rendezvous).
- Proficient computer skills including MS Outlook, Word, intranet, and related business applications.
- Strong client relations abilities and a keen sense of professionalism.
- Discretion and sound judgment, particularly when handling sensitive information or interactions.
- Highly self-motivated and well-organized, with the ability to manage multiple tasks efficiently in a fast-paced environment.
- Strong team player with solid problem-solving skills and the ability to collaborate effectively in a professional environment.
