We are currently recruiting for the following role in our Edmonton office:

Hospitality & Facilities Assistant

Essential Functions:

  • Deliver exceptional hospitality services by anticipating client and employee needs, including the setup and service of food and beverages for meetings and events.
  • Maintain boardrooms, meeting areas, coffee stations, and common spaces to the highest standards of cleanliness, organization, and presentation.
  • Ensure meeting rooms and hospitality areas are fully stocked, refreshed, and ready for use at all times.
  • Coordinate the efficient setup and turnover of meeting and event spaces, ensuring a seamless client and employee experience.
  • Provide reception coverage during lunch breaks, vacations, sick days, and other absences, and delivering professional and welcoming front-line service.
  • Collaborate with Office Services teams to provide outstanding client service and operational support.
  • Build professional relationships with clients, lawyers, staff, and vendors while exercising discretion, sound judgment, and professionalism.
  • Take ownership of responsibilities, demonstrate initiative, and proactively identify solutions to improve service, efficiency, and workplace experience.
  • Assist with premises maintenance coordination and vendor management to uphold facility standards.
  • Adapt to changing priorities with a positive attitude, strong attention to detail, and a commitment to service excellence.
  • Perform additional duties as required, recognizing that every task contributes to an exceptional client and employee experience and reflects the firm's commitment to hospitality and professionalism.

Qualifications:

  • Experience in a hospitality-related industry is necessary.
  • Knowledge of reception, hosting, banquets, audiovisual support, and mailroom operations in a professional services or office setting is advantageous.
  • Strong organizational skills and attention to detail are essential.
  • Excellent communication skills, both written and verbal, while maintaining a high level of customer service.
  • Flexibility and adaptability to accommodate changing priorities and requirements daily.
  • Takes initiative, self-motivated, and requires minimal supervision.
  • Capable of working effectively independently as well as part of a team.
  • Must uphold high standards for cleanliness.
  • Ability to perform some heavy lifting (up to 20 pounds).
  • Proficient in computer skills, including Outlook and Microsoft Office.
  • Willingness to work overtime or outside of core business hours as necessary.
